Guidelines for approving English language proficiency – PPGCTA

According to the General Regulations for Graduate Studies at UFV, in order to fulfill the English language requirement, students must pass standardized proficiency exams indicated by the Office of the Vice Provost for Research and Graduate Studies, provided the exams were taken within a maximum period of two years.

The deadline to meet this requirement must not exceed the end of the second academic term after the student’s enrollment, under penalty of dismissal. This deadline also applies to students who request a leave of absence.

Required Documents

To request the recognition of English proficiency, the following documents must be submitted to PPGCTA (tca@ufv.br) in addition to the proficiency certificate:
⇒ Form 6A (signed by the student and academic advisor);
⇒ Academic transcript (obtained via the Sapiens system);
⇒ Study plan including the recognized proficiency (obtained via the AcadêmicoPG system);
⇒ Proficiency certificate.


How to fill out Form 6A?

Only the following fields must be completed in Form 6A:

A – Student’s name;
B – Current level (Master’s or Doctorate);
C – Institution where the credits were obtained (indicate the name of the institution where the exam was taken);
D – Level at the time of certification (Master’s or Doctorate);
E – Course title (indicate the name of the exam taken);
F – Year (indicate the semester the exam was taken, e.g., 2024/2).


How to include English proficiency recognition in the study plan?

1 – Access the AcadêmicoPG system;
2 – Go to the study plan screen, under “in progress” and click “edit”;
3 – Click “add” under the field “Recognition of courses taken at another institution”.

4 – Fill in the information as shown in the image below;

5 – Validate the study plan and submit it for approval.


IMPORTANT: The recognition is only finalized after the process is reviewed and recorded in the Sapiens system by the Academic Records Office. Therefore, all documents must be sent to PPGCTA at least one week before the end of the semester classes to allow enough time to initiate the process and forward it to the responsible departments.
